How it works

A managed, customer-specific workflow — built, tested and approved

We do not assume a system automatically understands any spreadsheet. Every workflow is configured, documented, tested and approved around your own data and Sage Intacct setup.

STEP 01

Send us your before file

Provide a representative example of the spreadsheet, CSV or system export your team currently receives. Representative sample data — including common variations, exceptions and different transaction types — exposes more of the rules than one or two perfect rows.

STEP 02

Show us the required after result

Provide your current Sage Intacct import template, a previously successful completed import file, or examples of the finished transactions inside Sage Intacct. If you enter transactions manually today and have no import file, we can work from your template and worked examples instead.

STEP 03

We document the transformation rules

We identify the mappings, calculations, grouping, validation and exception rules that currently require manual work — the logic your team applies by hand every period.

STEP 04

We build and test your workflow

We create the repeatable process between the source file and the Sage Intacct-ready output, and test it using representative sample data before it is approved.

STEP 05

Reuse it whenever the next file arrives

Future files can be processed using the same approved workflow, with any missing or invalid information clearly flagged for review. Final approval and the import into Sage Intacct remain with you.

Simple or complex

Simple or complex — we’ll map it

Most Rekeyless workflows are quick to configure. You send us:

  • the raw file you currently receive
  • an example of a file that has successfully imported into your accounting system
  • any notes on the manual steps you currently carry out

We’ll review the process, ask any questions we need, and build the workflow for you.

For more complex processes — involving multiple files, extensive business rules, unusual transformations or significant manual decision-making — we’ll review the requirements first and confirm the setup scope before any work begins.

The aim is to automate as much of the process as possible while keeping any remaining exceptions simple to review and correct.

What we need to understand your workflow

After the initial review, the following help us build and test an accurate workflow:

A representative source file
Your latest Sage Intacct import template
A previously successful completed import file, where available
Examples of correctly entered transactions
Details of calculations and business rules
Customer mapping lists
Supplier mapping lists
Location and department mapping lists
Project or other dimension mappings
Examples of common errors
Examples of credits
Examples of missing values
Examples of unusual transactions
A clear explanation of the required output
Confirmation of who will test and approve the output

A source file containing only one or two perfect rows may not expose every rule. Representative sample data should include common variations, exceptions and different transaction types.
