Monthly Sage Intacct import preparation reduced from a full working day to around 10 minutes

A UK multi-site business was spending almost an entire working day each month preparing operational data for import into Sage Intacct.

The source data came from another business system and could not be imported directly. Before finance could upload it, the spreadsheet had to be cleaned, reformatted, checked and enriched using a series of business-specific rules and lookup tables.

The challenge

The preparation process included:

  • mapping customer and location IDs
  • applying fixed Intacct values
  • formatting dates
  • creating calculated fields
  • applying tax details
  • checking required values
  • restructuring columns into the correct import format
  • identifying records that needed manual attention

Because the process relied on multiple manual spreadsheet steps, it was time-consuming and easy to get wrong.
